People @ Columbia (PAC) Toolkit

PAC is the customized version of PeopleSoft that integrates and processes all Human Resources and Payroll transactions for Columbia University. This section contains information regarding policy, access, functionality, and user manuals.

Policy

  • 90-Day Password Expiration:  Columbia University requires that all users of the PeopleSoft application change their password every 90 days. This is a precaution to help protect the sensitive personal and payroll data of all faculty and staff.
  • Restriction from Accessing Your Own Job Record: You are not allowed to view your own job information in Manager Self-Service; your supervisor must generate any PAFs that are required for your position.
  • Department Changes: If you transfer departments, your PAC access is automatically removed. This includes transfers between levels 6, 7, and 8 departments wtihin the same home department (e.g., your position is moved from one level 8 department to another within the same division).  To reinstate your access, please complete a new security application and request all required roles and departments once the transfer has been completed in PAC.
PAC Access is determined by the security roles and levels granted. Security defines the pages a user can access and the departments for which the user can transact.

To submit a new access request or to update or replace your existing access, complete the Columbia University People @ Columbia (PAC) Security Application in Service Now.

To delete access: Access is automatically deleted upon termination or transfer to another department.

Once you have been approved for access, you will receive an email from PAC Security.

All of the faculty and staff information in the department(s) to which you have access will appear on the Job and Personal Information page in PAC. Here you can view personal information such as email address and birthday, view job information such as check address and job summary and edit other information such as address, phone number, and emergency contact.

Template-Based Hires is a function within People@Columbia (PAC) where new hire and rehire transactions are initiated electronically in the departments and schools through PAC templates. A document attachment feature allows you to attach any documents necessary, and the electronic workflow allows for a paperless approval process. This function also integrates Salary Distributions and Additional Compensation payments known at the time of hire into the templates. 

E-Termination is a function within Manager Self-Service that allows managers to electronically submit a termination for administrative employees.
Labor Accounting enables schools and departments to manage employee account profiles, additional compensation, and cost transfers through the People @ Columbia (PAC) system.
PAC Training consists of web-based and classroom learning. Our training resources provide high-level context for transactions and business processes, along with recorded simulations of transactions in PAC.

PAC Manager Self-Service Guides 

Manager Self-Service is a part of the PAC system that allows managers in the schools and departments to view and update job and personal data for faculty and staff in their departments. Access to PAC Manager Self-Service is targeted to Columbia University Departmental Administrators and business managers.

Using the Active PAF Form

Active PAFs (Personnel Action Forms): An active PAF is used to make changes to faculty and staff members' job or personal records. This form is used to make changes that cannot be made using Faculty and Staff Self-Service or Manager Self-Service. These types of changes include putting someone on a leave of absence, transferring an employee to another department or changing compensation.
