Posting Details
The fields indicated by asterisks (*) on the Posting Details page are required.
The number of required fields has recently been expanded to generate all of the information necessary for the Applicant Pool Report. If you wish to print out an Applicant Pool Report for a previously posted position, you can fill in the required fields in any position posted before May 2.
The required fields are:
- Job Title
- This position is a:
- PAC Position Number: Enter either the PAC number, "New" or "N/A". If entering a new position, enter the following note in the Notes to HR field: "This is a new position. Please create a position number."
- Department
- Location
- Replaces
- Salary Grade
- Has this requisition been approved for a waiver?
- Hiring Contact(s) for This Posting (Please choose your own name here)
- Supervisor Name
- Supervisor Title
- Departmental Administrator Name
- Departmental Administrator Phone
- Departmental Administrator E-mail
- Requisition Open Date
- By checking the box and submitting the posting, I attest that I have received all necessary approvals:
- Indicate the approvals required and received for this posting.
When you have completed all of the fields, click on "CONTINUE TO NEXT PAGE."
Outreach Summary
On this page, enter the outside advertising sources (if any) used for the posted position.
Applicant Status – Finalist Selection
You must change the Selectee status to "Finalist" before notifying your Service Manager or HR Administrator, or before sending your selection to the Office of Equal Opportunity and Affirmative Action for approval (for grades 14/106 and above).
Note: For grades 7–9A/10–13/103–105 and 14/106 and above, the Service Manager or HR Administrator will then close the posted position.
Selectee Approval
Step 1: Service Manager, HR Administrator, EOAA
This new "Hiring Proposal" page is completed by Service Managers, HR Adminstrators or EOAA. The position must be closed for this feature to appear. The Finalist's name will populate automatically once their status has been changed.
For grades 7–9A/10–13/103–105, the Service Manager or HR Administrator will then approve the selected candidate online by completing the required fields, indicated by asterisks (*). To save the approval, the Service Manager or HR Administrator must select View Posting Summary (at the bottom of the page), click on "Save" and then click on "Confirm."
For grades 14/106 and above, EOAA will approve the selected candidate online once they have received all required paperwork for the posted position. Once they have approved the candidate, EOAA will notify the department via e-mail or by phone.
Step 2: Hiring Manager or Their Designee
Once the Service Manager, HR Administrator or EOAA has approved the candidate, the approval informaton will automatically populate the page.
The Hiring Manager/Designee must then fill out the required fields in order to generate the Applicant Pool Report. The required fields are indicated by asterisks (*).
Changing the Status of All Applicants
This is the last step before generating the Applicant Pool Report.
You must change the status of each applicant by choosing the appropriate field from the "Additional Information" dropdown menu:
- Under Review by Manager
- Short List
- Finalist
- Interviewed
- Hired
- Application Withdrawn
- Did Not Meet Min Quals Per Dept.
- Interviewed, Not Hired
- Position Withdrawn
In addition, if you choose "Hired" or "Interviewed, Not Hired" from the menu, a comments box will appear. For "Hired" applicants, you must enter the reason for their selection. For "Interviewed, Not Hired" applicants, you must enter the name of the interviewer(s) and the date of the interview.
The Hiring Manager must select View Postings Summary (at the bottom of the page). Click on "Save" and then on "Confirm."
Generating the Applicant Pool Report
- Step 1: Click on View Active.
- Step 2: Select the position to generate a report.
- Step 3: Select "Applicant Pool Report."
The Applicant Pool Report
All required fields and the Hiring Proposal page approval information are filtered into the final Applicant Pool Report.
The gender and race of all qualified applicants will generate automatically.
